Automate Buyer Uploads in Resware

At the beginning of a closing transaction, a closing company will request information and documents from the parties to the closing. Often, buyers (borrowers for refi’s) will be a little less experienced in going through the closing process, and handling documents securely. This makes gathering additional information and documents more difficult and less secure. In the previous blog, we demonstrated a way to securely gather information in Microsoft Forms, then import that data into Resware. In this article, we will review how to use SharePoint to collect documents securely, then import them into Resware.
You may ask, “Why wouldn’t I just have the buyer upload their documents into Resware?”. Great question. If you can get all your buyers to upload securely into Resware, then that’s great. Speaking with title and closing professionals over the years, I have found many that had difficulties getting all parties to log into their Resware portal consistently. The purpose of this solution isn’t to replace the Resware portal, but to provide another option to quickly onboard buyers and gather their documents to prevent delays at the beginning of the transaction. This is just the first reason.
The Why:
- Simple on-boarding of buyers to upload documents securely.
- Instead of subscribing to another third-party document upload app, there is no extra cost for SharePoint Online. It is part of the Office/MS 365 suite of apps that most of you are already using.
- You own the Microsoft tenant that the SharePoint folder lives in, so you own the documents from when they are uploaded until they make it to the Resware file.
The How:
Your buyer will upload the documents to a SharePoint upload page, which saves it in a folder. But we really need the document to be in Resware, in the file where it belongs.
Power Automate is also available in the Microsoft 365 suite of apps. It allows users to build no-code/low-code automations. In this example, an automation will be triggered when the document is uploaded.
For that, we need Power Automate to have a connection to Resware. The InfoQuery Connector for Resware is a certified connector available right in Power Automate. The InfoQuery connector allows you to securely send the Microsoft Forms response through a Power Automate workflow to your Resware file. The InfoQuery Resware Connector uses your Resware API URL and credentials. So, again you have ultimate control over permissions and security.
The Workflow:
The sequence of the flow:
- Get and store the upload link in a Resware Custom Field. To automate this, reach out to me on LinkedIn for more information.
- You send the upload link to your buyer, preferably by text using MessageLeap.
- They click the link, choose the document to upload, and then click submit.
- Sharepoint triggers Power Automate.
- Power Automate formats the document as a pdf, if it is another file type.
- The InfoQuery Connector for Resware imports the document into the Resware file.
The buyer is asked to enter their name when they upload the document, so you know who uploaded which document. When you create the link, you designate the document type you are looking for. So, it is best practice to create a different link for each different partner so that you can use different Resware document type ID’s when uploading to your Resware file. Again, the link generation can be automated but is outside the scope of this article.

The Follow-up:
The purpose of this demo was to show you one possible way you could use SharePoint Online and the InfoQuery Resware Connector to load a document into a specific Resware file, in an automated way. Once you set this up for each partner type that you receive docs from, your users only have to complete a Resware action and let automation do the rest.
